Job Title: Event Sales and Logistics Coordinator
We are seeking a highly organized and detail-oriented Event Sales and Logistics Coordinator to support our sales and operations teams, ensuring seamless event execution and exceptional customer experiences.
QUALIFICATIONS:
- Diploma or degree in Event Planning, Hospitality, or a related field.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn rental software quickly.
- Excellent verbal and written communication skills.
- Problem-solving skills and the ability to think on your feet to solve logistical challenges quickly and effectively.
- Customer service orientation with a strong commitment to professionalism and client satisfaction.
- Familiarity with event-specific tools or software (e.g., rental management platforms or CAD layouts) is a nice-to-have, but not required.
- Adaptability to juggle multiple responsibilities and thrive in a fast-paced, dynamic environment.
Responsibilities:
KEY RESPONSIBILITIES:
- Order Management: Collaborate with senior account managers and sales to input, update, and manage rental orders accurately, ensuring a smooth client experience.
- Client Coordination: Communicate with clients and venues to organize and confirm logistics, ensuring every detail is captured and addressed.
- Administrative Support: Perform general office tasks such as filing, data entry into rental software, managing calls, emails and maintaining accurate records.
- Project Tracking: Organize and monitor project details to keep timelines on track and information accessible for all stakeholders.
- Vendor Coordination: Work with third-party vendors and suppliers to coordinate delivery schedules, rental items, and additional services as needed.
- Client Follow-Up: Conduct post-event follow-ups to gather feedback and address any outstanding concerns or requests.
- On-Site Support: Occasionally attend events to oversee logistics, troubleshoot issues, and act as a point of contact for clients or the operations team.
- Proposal Assistance: Assist the sales team by preparing proposals, contracts, and quotes, ensuring they are delivered in a timely and professional manner.
- Office Support: Help with general office upkeep, such as ordering supplies, ensuring the workspace remains organized, and providing support for team meetings or presentations.
