Position Overview: Brownlee LLP is seeking a highly organized, detail-oriented Event Specialist to join our Marketing team. Reporting to the Marketing Manager, this full-time, permanent position will be responsible for the logistics, coordination, and execution of the firm’s events, including conferences, tradeshows, hospitality suites, sponsorships, and client receptions. The Event Specialist will ensure that all event logistics are meticulously planned and executed while working closely with the Marketing Manager to ensure key decisions—such as budgets, vendor selections, and event plans—are made efficiently, accurately, and in alignment with the firm’s expectations and overall marketing strategy. This role will be crucial in facilitating smooth event execution, presenting organized information for review, and ensuring that approvals are obtained in a timely and clear manner.
QUALIFICATIONS:
- Experience: Minimum 2-4 years of experience in event coordination or a similar role, ideally in a professional services or legal environment.
- Education: Completion of a post-secondary diploma or degree in event management, marketing, business, or a related field is preferred.
- Event Management Skills: Proven experience managing event logistics, including vendor negotiation, venue selection, catering, and event execution.
- Organizational Skills: Strong multitasking and organizational abilities, with an eye for detail to ensure flawless execution of events.
- Decision-Making Support: Ability to present organized, clear information for decision-making, ensuring that approvals are obtained and key stakeholders are kept informed throughout the event planning process.
- Budget and Cost Management: Familiarity with managing event budgets and tracking expenses, ensuring alignment with approved financial guidelines. Ability to clearly present budget information to senior management when needed.
- Communication Skills: Excellent verbal and written communication skills, with the ability to liaise with vendors, suppliers, and internal teams to ensure smooth event execution.
- Tech Proficiency: Comfortable using software tools such as Microsoft Office (Word, Excel), event management platforms, and basic project management tools.
- Team Collaboration: Ability to work closely with both the Marketing Manager and other team members, contributing to a cohesive and efficient event planning process.
- Proactive Attitude: Self-starter who can manage their time effectively, anticipate needs, and follow through on tasks with minimal supervision while keeping stakeholders informed and involved.
- Professionalism: High level of professionalism and ability to represent the firm in a polished manner during events, liaising with clients, vendors, and attendees as needed.

Responsibilities:
- Event Coordination and Execution: Manage all logistical aspects of firm events, from initial planning to event execution, ensuring that all details are covered (e.g., venue booking, catering coordination, speaker arrangements, etc.).
- Pre-Event Planning: Independently handle event logistics, ensuring decisions are made in a timely manner and that the Marketing Manager is kept informed of key details. Present information to the Marketing Manager for review and approval, ensuring that decisions are framed clearly to facilitate efficient decision-making.
- Vendor and Supplier Management: Source and negotiate with vendors and suppliers for event services (e.g., catering, decor, AV services), ensuring that quality and financial value align with the firm’s standards. Present vendor options, quotes, and recommendations with clear cost breakdowns for approval.
- Sponsorship Management: Oversee the firm’s sponsorship requests, including tracking, managing, and facilitating responses to golf tournament sponsorships and other events, ensuring all approvals are sought as needed.
- Event Budget Tracking: Ensure that all expenses related to events are within approved budget guidelines. Present budget reports to the Marketing Manager for review and approval, ensuring that decisions involving costs or financial commitments are cleared in advance.
- Content Coordination: Work with the Marketing and Design Coordinator to identify and coordinate event-related content for social media and marketing materials. Provide the necessary direction to ensure content is aligned with the event’s goals and messaging.
- Post-Event Reporting: Prepare post-event reports, analyzing success metrics, attendee feedback, and budget adherence. Summarize the event’s outcome and provide recommendations for future improvements.
- Decision Support: Present organized and clear information to the Marketing Manager to facilitate decision-making, particularly when approval is required for budgets, vendors, or significant event changes.
- Calendar and Timeline Management: Ensure that all event timelines, schedules, and deadlines are met, keeping events on track and within scope. Proactively communicate updates and adjustments to the Marketing Manager and relevant team members.
- General Event Support: Provide hands-on support for various events, ensuring the smooth flow of activities and addressing any logistical issues that arise during events. Ensure the event’s success and high standards are maintained from start to finish.
