Description:
The Events and Communications Coordinator is responsible for for writing and distributing internal and external communications to promote Stellat’en First Nation meetings and Events. The Coordinator, is responsible for planning, organizing, coordinating staff and contractors for Salmon Fest, Stellat’en First Nation Annual General Assembly, meetings, and other meetings / events. This role oversees the venue set-up and preparation and audio visual equipment for meetings and events as well as tear down and cleanup of venue after meetings and events.
The Coordinator is responsible which supports the goals of the organization. They will act as a liaison between the organization, the public, and the media to ensure that a positive public image of Stellat’en First Nation is maintained.
Meetings and events can occur during the daytime, evening and weekends. The hours will be scheduled based on meeting and event demands and scheduling.
QUALIFICATIONS, EDUCATION AND EXPERIENCE:
- Bachelor’s Degree, diploma or equivalent in public relations, event management, communication, or journalism.
- An equivalent combination of education and experience may be considered.
- Strong understanding of event management and promotion.
- Communicate effectively and professionally both verbally and in writing.
- Valid BC driver’s license with own, reliable vehicle.
- Understanding and knowledge of various computer programs and software, audio and visual set up and take down.
- Punctual and reliable.
- Excellent time management and organizational skills.
- Knowledge and understanding of safety procedures.
- Ability to work unsupervised or as a team player.
- Discrete, confidential, punctual, and reliable.
- Excellent time management and organizational skills.
- Exceptional interpersonal and communicational skills with accuracy and attention to detail.

- Experience working with First Nations.
Job Type: Full-time
Pay: $28.40-$30.66 per hour
Expected hours: 35 per week

Responsibilities:
PRE-EVENT/MEETING DUTIES:
- Advise and assist Stellat’en First Nation members, Chief & Council, management, and departments on communication matters.
- Facilitate meetings, gatherings and events as required
- Compile a list of attendees for approval for the event.
- Invite internal and external attendees to event.
- Write and edit various communication documents as required.
- Prepare and distribute brochures, reports, newsletters, and other communication materials.
- Develop and organize workshops, meetings, and other events for publicity and informative purposes.
- Prepare when required reports, briefs, biographies, speeches, presentations, and press releases
- Arrange interviews and news conferences and releases when required.
- Plan, organize, and implement various communications initiatives on behalf of Stellat’en First Nation.
- Coordinate and organize Stellat’en First Nation in speaking engagements and events; including spokesperson(s).
- Respond to correspondence, issues, and concerns from members and public.
- Create and establish systems for venue rentals, event coordination and management.
- Assist with the production and coordination of display material.
- Prepare and assist in the preparation of audiovisual and virtual material for Stellat’en First Nation (Zoom meetings, PowerPoint presentations, slideshows, etc).
- Arrange catering, entertainment, photography, and locations of events.
- Organize venues, catering, invitations, attendance and audiovisual equipment for meetings and events
POST EVENT/MEETING DUTIES:
- Prepare and assist in the preparation and operation of the audio visual equipment for SFN during meetings and events.
- Management of contractors and staff.
- Maintain cleanliness inside and outside the venue.
- Chair committees for events.
- Fundraising, grant proposal writing, and reporting.
- Ensuring audio/video equipment, tables, chairs, etc. is put away after meetings and events.
- Creating inventory of all audio/video equipment, tables, chairs, and other equipment.
- Supervision of contractors for repairs and maintenance.
- Ensure regular and proactive maintenance and repairs are completed.
- Document events, ceremonies as required by video recording, Facebook live, etc.
- Perform general administrative tasks, including reporting, compiling statistical records, supporting multiple departments and programs, make recommendations to management.
- Standardize and implement administration wide communication tools.
- Standardize Stellat’en First Nation branding across all administration tools.
- Other duties as required.
