Description:
We hold Functions/Events for 30-180 guests, including but not limited to Weddings, Golf Tournaments, Wedding/Baby Showers, Corporate Events, Celebration of Life, Staff parties and family events.
Job Description:
As the Event Coordinator, you will play an integral role in supporting clients for all aspects of their event and the coordination of services ensuring a successful outcome. Your responsibilities will encompass consultation with the client, and the timely planning and communication of all service requirements. The Event Coordinator evaluates the client’s needs and proposes solutions for food and beverage, set-up, and all other services. Banquet and menu planning are important components of the Event Coordinator’s duties.
Knowledge of event management and floor plan programs would be considered an asset. The ability to demonstrate strong verbal and written communication skills, and a thorough working knowledge of event coordination and execution are critical requirements.
In this position, you will report directly to the Food and Beverage Manager while also partnering closely with the Banquets team, and other members of the Food and Beverage Services department.
Available to work days, evenings, weekends and holidays.
Tasks:
- Assist clients with day-to-day requirements, inquiries and design leading up to events and provide professional recommendations on key planning components such as timelines/agendas for floor plans, audiovisual elements, room configurations, décor, programming and customized tours.
- Responsible for the successful delivery of events while managing event process which may include executing client meetings, preparing event details, monitoring event budgets and sourcing external resources if required.
- Create sales on site for future events and digital marketing.
- Collaborate with all other required departments when planning and executing an event and insure timely completion of all event components as per client’s requirements.
- Work with the culinary team and the client to determine a proper menu for each event.
- You will coordinate menu planning meetings as required with all relevant parties.
- You must always be available to clients during their events while observing and managing key service components of events.
- You will be responsible for coordinating non-food supplies required for each event, including but not limited to linens and laundry suppliers, staffing, equipment rental companies and florists.
- Responsible for coordinating the layout for the event space according to the client’s requirements and health & safety requirements.
- Keeping financial and administrative records of any changes that may affect the final billing for each event.
- Oversee and assist with room set-up and take down
- Train new banquet staff.
- Complete weekly schedules for the banquet team.
- Complete other duties as assigned.
- The ability to work well independently on several projects concurrently
Transportation required as we are not on a bus route.
