Description:
DescriptionAn excellent opportunity has arisen for an experienced Events Manager to join the award winning 5 star team at Lyrath Estate Hotel for a 12 month Fixed term Contract.
Under the guidance of the Director of Sales and Marketing, the Events Manager undertakes the operation and function of the events office with specific responsibility for all Weddings, Conference and Event enquiries, the process therein from enquiry through to confirmation.
Key Accountabilities:
- To be the first point of contact for all conference and banqueting enquiries via telephone, email and walk-ins.
- Serve as a primary point of contact for clients during the planning and execution phases.
- Communicate effectively with vendors to ensure timely delivery of services and products.
- Assist the DOSM with managing the events team.
- Maintain and develop new and existing business opportunities.
- To provide accurately priced and detailed proposals related to enquiries received.
- To meet clients and conduct show rounds of the hotel (walk-ins and by appointment), accommodation and event facilities to the end of securing and contracting the business.
- To follow up on all leads and enquiries and to accurately process conference wedding and events bookings in an appropriate and timely manner.
- Correct management and processing of the PMS/CRM system.
- To work directly with the DOSM in pro-actively generating sales leads for the hotel.
- To manage and control the function diary, maximising yield and profitability of available meeting space.
- Assist in preparing and managing event proposals.
- Maintain accurate records of client interactions, contracts, and event details.
- Prepare and distribute event-related materials, such as agendas, signage, and promotional items.
- Maintain accurate records and documentation related to each event.
- Support the Assistant Director of Sales and Events with administrative tasks as needed, eg. Forecasts , rostering, internal financial reports
- Oversee event setup, including staging, audiovisual equipment, seating arrangements, and decor.
- The administration and completion of accurate up to date event function sheets.
- To attend and host all key pre-conference meetings with event organisers and key hotel HODs.
- Assist in conducting post-event evaluations, gathering feedback from clients and attendees.
- Proactively manage existing and past clients of Lyrath Estate
- Prepare detailed post-event reports, including recommendations for future improvements.
- To meet and greet all key clients on the day of arrival and to ensure the smooth coordination and delivery of the event.
- To report and communicate accurately with the DOSM and GM at given times in relation to forecasting, pace and risk.
- Accurate and audited billing ensuring full revenue capture of all inclusive elements including changes during the event and to sign off all accounts prior to invoice.
- Coordinate with internal teams to align event goals with overall company objectives.
- Assist in preparing contracts, agreements, and other necessary paperwork.
- Handle general administrative duties as needed.
