Responsibilities:
POSITION PURPOSE
Responsible for managing events and ensuring deadlines and budgets are adhered to. Directs coordination of activities to prepare for the day of the event.
DUTIES AND RESPONSIBILITIES
- Coordinate details of events such as corporate events, movie premieres, screenings, holiday/after parties, weddings, birthdays, anniversaries, charity events, surprise parties, small business meetings, employee appreciation events.
- Sales outreach new and old business
- Set up appointments and conduct walk throughs.
- Prepare proposal and menu adjustments when necessary.
- Responsible for staying in contact with clients to ensure their needs are met.
- Book events and negotiate fees and menu prices.
- Obtain Events Deposit prior to each event
- Prepare special events permits with city of west Hollywood and fire marshal.
- Manage staff and responsible for event coordination activities.
- Coordinates with staffing agency, security/labor/rental companies for major events.
- Ensure staff is adequately prepared for event.
- Plan menus with clients and Executive Chef.
- Prepare Banquet Events Orders and distribute
- Ensure day of event goes smoothly.
- Work with clients/guest of honor to ensure all requests are met.
- Analyze event performance.
- Send final bill to clients after events to ensure it was a success.
- Prepare event profit and lost report for accounting
- Executes credit card statements at the end of each month
- Prepare Managers forecast weekly and distribute
- Prepare all captain paper work prior to each event
- Communicate via Email to F&B regarding upcoming months of events
