Hours: 9:30 a.m. to 5:30 p.m. some requirements to work outside of these hours to support client facing events. Happy to talk flexible working.
Responsibilities:

The Events & Marketing Assistant will be involved in a variety of event and marketing activities as part of the larger Business Development team the focus of this role is to support the London events and marketing programme. The following list is illustrative:

  • Events — working with the Events Manager and Senior Events & Marketing Executive to support client facing/online events for London fee-earners and on occasion support global offices with their events.

This will include:

Research and liaison with third party venues and hospitality suppliers for external/online events upon request.

  • The development of event/seminar invitations, compiling target lists through CRM database (InterAction), event planning and administration, management of RSVPs and guest data through InterAction, printing and liaison with in-house design team for event name badges and materials along with on-site responsibility for setup and registration of events on the day.
  • Set-up and running of online webinars using Mayer Brown systems, Zoom, Microsoft Teams. Running reports, managing recordings with Multimedia team coordinating with the BD team.
  • Working with our Internal support teams (such as IT, HR, Catering and Reception teams on coordinating logistics for our onsite Events held within our own designated Event Space
  • Marketing communications — supporting the marketing function with marketing our events and projects
  • Supporting the events team with general admin, managing merchandise stock, keeping the our events database up to date, researching venues, online virtual event ideas.

    • Attend food and drink tastings and site visits with the events team when necessary.
      Qualifications:
      Educated to A level or equivalent.
      GCSE English Grade C and above.

Experience, skills and personal attributes:

  • Preferably 1+ year of experience in legal or professional services firm
  • Preferably 1+ year of experience in business development and/or marketing
  • Able to use own initiative and be pro-active
  • Excellent organisational skills
  • IT literate with strength in research
  • Knowledge of using online platforms such as WebEx, Zoom desirable not essential
  • High level of emotional intelligence
  • Delivery/solution focussed with a strong desire to meet the needs and requirements of internal clients under the pressure of tight deadlines
  • Excellent communication skills (written and oral) is essential
  • Ability to build relationships across all levels of the business
  • Ability to prioritise and multitask.
  • Attention to detail, tenacious with a sense of responsibility and ownership
  • An understanding of marketing principles and how to apply these to the professional services environment
  • A team player who inspires confidence and is able to deal with difficult situations
