Position title : Events & Operations Assistant (FDG Team)
Reports to : Head of Face to Face Development & Growth (FDG)
Location: Singapore

REQUIRED QUALIFICATIONS, SKILLS AND COMPETENCIES:

  • Diploma or Degree in Marketing, Events Management, Public Relations, Communications, Management, or related fields.
  • Experience in fundraising and/or events management, including interaction with venue owners, managers, and logistics vendors.
  • Proven track record in event coordination and logistics, particularly within the nonprofit sector.
  • Strong organizational skills with meticulous attention to detail and effective prioritization.
  • Excellent written and verbal communication skills with a collaborative approach.
  • Proficiency in Microsoft Office suite and familiarity with CRM software is advantageous.
  • Flexible schedule to accommodate occasional evening and weekend events (off-in-lieu will be provided to compensate for work done outside of regular working hours)
  • Passionate about conservation and sustainability, aligned with WWF’s mission and values.
  • Strong work ethic, proactive problem-solving skills, and ability to thrive in a fast-paced environment.
  • Resourceful and adaptable, capable of performing well under tight schedules.

WORKING RELATIONSHIPS:

Internal – Ensure intra and inter-departmental collaboration for the optimal use of resources and organizational alignment.
External – Work with various partners and vendors supporting WWF’s work. Coordinate with external vendors relating to events, payments and logistics amongst others.

This job description emphasizes the impact and inspiration behind WWF Singapore’s Face to Face Development & Growth team, inviting passionate individuals to contribute to meaningful conservation efforts through effective event coordination and operational excellence.
This job description covers the main tasks. Other tasks may be assigned as necessary according to organisational needs.

Responsibilities:

  • Collaborate with the Line Manager to plan and execute impactful face-to-face fundraising events.
  • Secure high-quality venues that align with our mission and enhance donor engagement.
  • Negotiate cost-effective partnerships for events within the FDG team.
  • Contact and maintain relationships with mall and corporate contacts for FDG events.
  • Coordinate with logistics vendors for event setup and teardown (80% events, 20% street activities).
  • Manage event scheduling and vendor coordination.
  • Handle administrative tasks related to event logistics and fundraising locations.
  • Develop and update a Standard Operating Procedure (SOP) for FDG Events
  • Procure and prepare FDG merchandise as required for events.
  • Train department representatives on merchandise ordering processes to enable independent action, when needed.
