OPPORTUNITY
MacEwan University is seeking an Exam Administrator for a 12-month, full-time non-recurring term opportunity with our Exam Services department. Reporting to the Manager, you will support the daily operations of the Exam Centre by coordinating and supporting students with accommodated and deferred exams, ensuring the appropriate administrative, preparatory, and follow-up steps are taken to uphold academic integrity standards, keep student information confidential, and maintain exam security. You will also contribute to the creation of an inclusive and supportive exam environment for a diverse range of student needs, by consulting and coordinating activities related to exams with academic departments, faculty, and students.
Key responsibilities include:
- Reviewing, analyzing and triaging incoming requests, and offering support and information on the procedures, requirements, and necessary documentation or next steps required;
- Approving requests and scheduling exams;
- Reviewing accommodation requirements to assess and understand the specific accommodation requirements for each exam and student to arrange suitable exam accommodations, in collaboration with the Access and Disability Resources team;
- Resolving inquiries, exam discrepancies, and concerns;
- Communicating request decisions and exam changes to students;
- Coordinating rescheduling and cancellation requests;
- Liaising with faculty to obtain accommodated or other required exam resources;
- Ensuring that all exam requirements, formats, and instructions are entered into the databases;
- Arranging for appropriate exam formats based on approved accommodations, ensuring that exam materials are prepared and adapted as needed and that the appropriate testing tools are available;
- Preparing electronic and hard copy exams provided by the faculty;
- Supporting the preparation of computers and assistive technology before exams;
- Developing exam rosters, cross-checking the system for exam completion, and supporting the return of paper exams and exam results to the respective Faculty/School;
- Supporting efficient operations of exam seatings by providing support to Exam Invigilators and the Exam Coordinator; and
- Operating the scantron scoring system and ensuring grades and scantron pages are returned to the instructors.
SKILLS
You will have:
- Thorough knowledge of university policies and procedures, including those relating to Academic Integrity, Student Code of Conduct, and Exam Centre operations;
- Strong understanding of and the ability to maintain the integrity and security of exams and exam-related information;
- The ability to operate with a high degree of tact, diplomacy, professionalism, and sensitivity to student and faculty concerns;
- Excellent analytical, planning, decision-making and problem-solving skills, with keen attention to detail;
- Excellent written and verbal communication skills;
- The ability to work collaboratively and with minimal supervision in a team environment, with multiple competing deadlines;
- Knowledge of FOIP, the Alberta Human Rights Act, and the duty to accommodate;
- Proficiency in Microsoft Office applications;
- Thorough knowledge and understanding of the variety of technologies, exam testing platforms and formats used to meet the needs of students requiring accommodation;
- Familiarity with adaptive technology such as text-to-speech, speech-to-text, and digital magnification; and
- Knowledge of disability-related barriers.
QUALIFICATIONS
- A minimum of a diploma in Business, Education, Administration, or a related field.
- A minimum of two years of experience in an increasingly responsible administrative and customer service role.
- The completion of Mental Health First Aid is considered an asset.
- Training in trauma-informed practice is considered an asset.
- Experience working in a post-secondary institution or in a related testing environment is considered an asset.
- Experience working with and providing support to adults with diverse needs in a learning environment is preferred.
- An equivalent combination of education and experience may be considered.
