NOW HIRING AN EXECUTIVE ADMINISTRATIVE ASSISTANT!

We are looking for a highly organized, detail-oriented Executive Administrative Assistant to provide comprehensive administrative support to the Executive Director and the leadership teams at Cypress Cove, Cypress Living, and Cypress at Home. The ideal candidate will be proactive, adaptable, and possess excellent communication skills to manage day-to-day operations efficiently, contributing to the overall success of the community.

QUALIFICATIONS:

  • Associate’s or bachelor’s degree in business administration, Management, or related field preferred.
  • Minimum of 3-5 years of experience in a similar role preferably in healthcare, senior living or a non-profit environment
  • Excellent written and verbal communication skills are required.
  • Ability to manage multiple priorities and work under pressure.
  • Knowledge of basic computer software; Internet Software; Spreadsheet Software and Word Processing Software. Proficiency in Microsoft Office Suite.
  • Experience in event coordination and financial management is a plus.

Responsibilities:

  • Administrative Support: Prepare professional PowerPoint presentations, memos, and reports for the Executive Director and leadership team. Manage shared drive information to ensure accurate document storage and accessibility. Coordinate and make travel arrangements, and oversee the scheduling of meetings, including preparing agendas and taking minutes.
  • Communication: Act as a key point of contact for communications with residents, staff, board members, and external partners. Handle confidential information with discretion and professionalism.
  • Office Management: Maintain office supplies, organize and manage files, and assist various department leaders as needed. Provide support for cross-departmental administrative tasks to ensure smooth operations throughout the community.
  • Event Coordination: Assist with planning and organizing community events, board meetings, and special projects. Coordinate logistics, materials, and communications to ensure seamless execution.
  • Project Support: Provide administrative support for strategic initiatives and special projects as assigned by the Executive Director and the leadership team. Conduct research, compile data, and prepare reports for executive decision-making.
  • Financial Assistance: Assist with processing invoices, tracking expenses, and supporting the preparation of budgets for the Executive Director and leadership team.
  • Resident and Family Relations: Provide support in addressing resident and family inquiries, concerns, and requests. Foster positive relationships and ensure excellent customer service.
