We are seeking an experienced and proactive Executive Administrative Assistant to support our executive team. The ideal candidate will possess exceptional organizational and communication skills, with the ability to manage multiple priorities and provide strategic support. This role is crucial in ensuring the efficiency and effectiveness of our executives, contributing to the overall success of the organization.

MINIMUM REQUIREMENTS:

  • Bachelor’s Degree in Business Administration, Communications, Human Resources or a related field
  • 5 years of experience in operations, projects or related roles
  • Proficiency in Microsoft Office & Google Suite
  • Experience with calendar management over international timezones, travel scheduling and booking, and budgeting of events
  • Excellent organizational skills, with attention to detail and ability to handle multiple priorities with minimal guidance

PREFERRED REQUIREMENTS:

  • Master’s Degree in Business Administration, Communications, Human Resources or a related field
  • Proficient in collaboration tools such as Slack, Notion, Figma and meeting tools Zoom, Google Meets, etc
  • Desire to work in an early-stage, fast-paced environment with a degree of ambiguity
  • Excellent communication and collaboration abilities

Responsibilities:

  • Executive Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Strategic Partnership: Act as a strategic partner to executives by anticipating needs, preparing relevant materials, and providing insights to support decision-making.
  • Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely responses and follow-ups.
  • Meeting Coordination: Prepare agendas, materials, and minutes for meetings; assist in organizing executive meetings, board meetings, and other high-level events.
  • Project Management: Lead and assist in the pre-planning and execution of special projects and initiatives as directed by executives.
  • Information Management: Maintain confidential files, records, and documentation; ensure accurate and timely filing and retrieval of information.
  • Relationship Management: Act as a liaison between executives and internal/external stakeholders, maintaining professional and positive relationships.
  • Travel Arrangements: Organize and manage complex travel itineraries, including flights, accommodations, and transportation.
  • Expense Reporting: Prepare and process expense reports, ensuring accuracy and compliance with company policies.
  • Problem Solving: Anticipate potential issues and develop proactive solutions to enhance executive productivity and efficiency.
