About the Executive Administrative Assistant:
MarketStar currently has an opening for an experienced senior administration associate with very strong organization skills, meticulous attention to detail, ability to operate across multiple leadership and executive levels, and an ability to drive tasks and projects to completion. This person would be responsible for a variety of critical engagement elements. These include senior (SVP) leadership support and engagement coordination. Responsibilities also include executive calendaring and coordination, business unit meeting management, client engagement and meeting coordination, business review content review and creation in partnership with leadership, some project level leadership and support, and other administrative tasks as assigned. This role requires a high degree of independent, strategic and critical thinking, execution, as well as strong communication skills and a sense of ownership and urgency.
Location: Leopardstown, Dublin 18 – Hybrid (3 days a week in office)

What will you do?

  • Report directly to one or more Senior Vice Presidents inside the MarketStar business to drive effective and efficient engagement
  • Communicate professionally with multiple levels of stakeholders internally and externally to facilitate successful engagement
  • Facilitate Business unit meeting agendas and content to support the growth of the business
  • Provide calendar management and coordination for business unit effectiveness
  • Create process and procedure manuals in collaboration with manager and executives as needed
  • Lead small and large projects as assigned
  • Create highly polished and compelling business presentations utilizing tools such as PowerPoint and Google Slide
  • Provide constructive feedback and guidance to leadership levels inside the business unit

What Will You Need to Succeed?

  • Previous experience in administrative support roles working with senior level executives
  • Previous experience and depth in project management
  • Extensive experience with MS Office and Google Workspace (GSuite) including documents, spreadsheet, and presentation programs
  • Excellent verbal and written communication skills including ability to communicate timely updates as needed
  • Experience managing multiple tasks, details, and projects simultaneously
  • Willingness to learn, share responsibilities, facilitate collaboration, and support the success of others
  • Ability to maintain confidentiality and a high degree of integrity in all matters
  • Ability to maintain professional composure and communication in a stressful environment

The pay range for this position is basic salary per annum of between €45,000 and €50,000. This pay structure may include a variable bonus component. There are several factors to consider including but not limited to, the role’s responsibilities, experience, location, education/training, internal equity, and key skills.
