ABOUT PILLWAY:

Pillway is a fast-growing digital pharmacy startup revolutionizing healthcare by providing seamless, personalized medication management for chronic and acute care patients. As we continue to grow, we are looking for an Executive Assistant / Administrative Assistant to support our CEO in managing day-to-day tasks and ensuring smooth office operations.

POSITION OVERVIEW:

The Executive & Administrative Assistant will play a critical role in supporting the CEO by handling a variety of administrative and operational tasks. This is an in-office role, and the ideal candidate is someone who thrives in a fast-paced environment, is exceptionally organized, and can handle both the day-to-day needs of the CEO and the general operations of the office. This position is ideal for someone looking to contribute to the company’s success by making the CEO’s day more efficient and ensuring seamless office administration.

QUALIFICATIONS:

  • Experience: Minimum 2-4 years of administrative or executive assistant experience, ideally in a startup or fast-paced environment.
  • Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, and familiarity with Slack and task management tools (e.g., Asana, Trello, ClickUp).
  • Organizational Skills: Exceptional ability to prioritize tasks, multitask, and keep the CEO’s day running efficiently.
  • Communication: Strong written and verbal communication skills, with a professional demeanor and the ability to manage confidential information discreetly.
  • Problem-Solving: Proactive and resourceful, able to identify problems and offer solutions before they escalate.
  • Education: Bachelor’s degree or equivalent work experience preferred.

Responsibilities:

  • Calendar & Email Management: Manage the CEO’s calendar, schedule meetings, and handle daily email communications to ensure smooth operations.
  • Office Administration: Oversee general office management tasks, including ordering supplies, managing office vendors, and ensuring the office runs efficiently.
  • Travel Coordination: Arrange travel for the CEO, including flights, accommodations, and itineraries.
  • Task & Project Management: Assist the CEO in tracking key projects and deadlines, ensuring follow-ups are completed, and handling day-to-day tasks to optimize the CEO’s time. Manage the CEO’s task management tools (e.g., ClickUp and Slack).
  • Meeting Preparation: Prepare agendas and documents and provide the CEO with background research or notes.
  • Communication Liaison: Act as a point of contact between the CEO and various internal and external stakeholders, handling correspondence as needed.
  • Event Planning: Organize company events, meetings, and off-sites, managing all logistics and vendor relationships.
  • General Support: Provide additional administrative support as needed to ensure the CEO and the office run smoothly.
  • Presentation & Documentation: Prepare presentations, reports, and speaking notes for CEO meetings or events. Organize and manage board meeting materials as directed by the CEO.
