SUMMARY:
In this role, you will provide specialized and advanced administrative support, of both routine and confidential in nature, to the Vice President of Finance and Treasurer and six direct reports across the Corporate Treasury, Indirect Procurement and Corporate Aviation organization. The responsibilities require independent judgment, initiative, and executive intuition in supporting the needs of an executive and team. The Executive Administrative Assistant works closely with the functional leaders to set schedules, and manages all department leadership and team programs, department budget and headcount reconciliation, provides expert communication and editorial support and coordinates logistics for the leaders.
Responsibilities:
- Coordination of Events including but not limited to; offsite meetings, Steering Team meetings, annual events, rating agency and banking meetings and others.
- Coordination of domestic and international travel arrangements, itineraries, meetings and appointments such as monthly one-on-ones direct reports, team meetings, business review meetings, etc.
- Process incoming and outgoing communications (letters, e-mails, reports, signatories, presentations and other materials).
- Maintain bank and rating agency reporting, including providing biographies and overall relationship snapshots prior to meetings.
- Supporting processing of manual checks in partnership with the Treasury operations group.
- Act as backup for the Corporate Aircraft scheduling system.
- Maintain correspondence, reports, monthly highlights and presentations databases including files, ensuring critical and/or confidential data is appropriately managed and stored.
- Maintain the Treasury Corporate Connect site, including organizational charts, policies and other team communications.
- Assist with budget tracking and creation/preparation of presentations and reports.
- Provide administrative support to department, create/prepare expense reports.
- Ordering, stocking and organizing of office supplies, delivery and sorting of departmental mail.
