JOB DESCRIPTION

We have an exciting position for a highly motivated executive administrative
assistant professional to join U.S. Bank to support and partner with our EVP Chief Digital Officer, Digital Platforms and Capabilities . In this role, the
incumbent will support the Executive Vice President and their senior leadership team as they lead the Digital organization, while having the opportunity to
contribute valuable insight to business discussions.
This person will play a key role for providing complex and highly confidential
administrative and project management duties. Additionally, the executive
administrative assistant will coordinate various leadership offsites and events for our Digital Platforms organization. The role will require one to regularly
exercise judgement and discretion in the execution of responsibilities that
include the monitoring and screening of incoming calls and emails, complex scheduling, and the execution of critical administrative duties.
The executive administrative assistant will play a key role in senior level
meeting coordination, reviewing communications and travel arrangements. They will collaborate with other administrative assistants supporting the most senior leaders of the organization. This person will have the opportunity to
utilize their technology/computer skills and work in several software packages.

PREFERRED SKILLS/EXPERIENCE

  • High school diploma or equivalent
  • Experience providing administrative support to management in a corporate environment
  • BS/BA degree
  • Five to eight years of experience providing administrative support to management in a corporate environment
  • In-depth knowledge of policies and procedures as they relate to the executive’s function
  • Proficient computer navigation skills using a variety of software packages including Microsoft Office 365 applications such as Teams, WebEx, Word, Excel, and PowerPoint
  • Excellent grammar, spelling, and punctuation skills
  • Possesses a high attention to detail
  • Well-developed ability to organize and prioritize tasks
  • Excellent verbal and written communication skills to respond to sensitive and/or technical customer/employee situations with a high degree of diplomacy and confidentiality

Responsibilities:

ESSENTIAL FUNCTIONS

  • Independently plans and organizes work; develops and maintains procedures to ensure work is completed in an efficient manner.
  • Coordinates the leader’s appointment calendar including making reservations for travel and accommodations as needed and ensures the office runs efficiently.
  • Greets visitors, screens incoming calls and reviews incoming correspondence; using discretion to direct items to the executive or refers them to other staff for action.
  • Composes correspondence, prepares reports and conducts special projects as directed.
  • Takes and transcribes dictation of complex correspondence and confidential reports. Proofreads and edits final copies.
  • Composes correspondence, signs and releases routine correspondence.
  • Organizes invoice and expense processing/review.
  • Researches and summarizes data as requested; prepares reports for the executive and other members of senior management.
  • Organizes and maintains confidential files and records.
  • Contributes to effective customer and public relations through courteous and tactful responses to inquiries.
  • Follows through on matters referred to other staff to make sure prompt action has been taken.
  • Other duties as assigned.
