QUALIFICATIONS:

  • Bachelor’s degree in administration or communication
  • Highly collaborative style and desire to work in a team. Interest in coordinating work between colleagues
  • Detail oriented, with a proactive approach to their work, anticipating needs of the CEO, and leadership staff
  • Unquestionable judgment/ability to keep confidence
  • Flexibility regarding changing priorities and deadlines; agile in fluid environments and a “can-do” attitude in challenging situations
  • Minimum 5 years of administrative support experience
  • Strong knowledge of Microsoft Excel, Word and Power Point
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent customer Service
  • Ability to work independently

Responsibilities:

  • Assist with planning, scheduling and administration of key departmental activities on a global basis, including travel, logistics, and agenda preparation
  • Strategic and proactive calendar management (daily scheduling and meeting arrangements) for internal and external purposes, across various time zones
  • Coordinate and manage travel needs including flights, hotel, transportation, dining, and other logistics; anticipate, prioritize and prepare CEO (and potentially other executives) for travel
  • Manager office budget and lead clerical tasks such as copying, distributing mail, monitoring budget, ordering and maintaining supplies, and visitor registration
  • Monthly Finance Report-out Meeting (Bowler) management & coordination – setting schedule & timing, responsible to ensure presentations submitted on time, distributed to attendees, and printed, as well as keeping meeting calendar up to date for full year out
  • Assist with Philanthropy, Charity & Volunteer opportunities – Generating, evaluating requests, and managing logistics and communication to office, also sponsorship tables, etc.
  • Generate Board slides, Coordination & Meeting Logistics/Communication (Quarterly)
  • Working on special projects or providing extra support to other teams as needed
  • Receive and direct visitors and clients
  • Supervise office administrative assistant
  • Answer, screen and transfer inbound phone calls
  • Maintain office kitchen space
