Friends of Ruby is dedicated to supporting the well-being of 2SLGBTQIA+ youth aged 16-29 through mental health services, social programs, and housing. We operate a Youth Drop-In Centre, offering barrier-free counselling, hot meals, and community programming, and a Transitional Home, providing emergency and long-term housing with life-skills support.

POSITION SUMMARY:

As an Executive Assistant, you will be an integral part of Friends of Ruby’s day-to-day operations, providing administrative support to the Senior Directors, Executive Director, and Board of Directors. This is a fantastic opportunity for an energetic and organized individual who enjoys wearing multiple hats and supporting a growing, fast-paced organization.

WHAT WE NEED:

  • Satisfactory clearance under the Vulnerable Sector Police Check Program.
  • Legal eligibility to work in Canada.
  • Willingness to work onsite regularly at our downtown Toronto office, with occasional evening hours.
  • Ability to travel to community-based settings as needed.

Responsibilities:

In this role, you will:

  • Perform administrative and clerical duties such as data entry, filing, and inventory management.
  • Coordinate logistics for meetings and events, including scheduling, venue setup, and catering arrangements.
  • Manage schedules for the Senior Directors, Executive Director, and Board of Directors.
  • Prepare materials for meetings, including agendas, minutes, and presentation slides.
  • Oversee onboarding and offboarding processes for staff, including equipment and account setup.
  • Maintain office supplies and organize filing systems (physical and digital).
  • Provide support for events, travel arrangements, and other special projects.
  • Help maintain a welcoming and organized environment, including light housekeeping and ensuring equipment is in good order.
