Description:
AXA XL seeks to further invest in its ability to deliver world-class service to its clients Clients in order to consolidate its leadership position with large global P&C clients.
In the role of Executive Assistant to the Chief Client Officer you will provide an exceptional level of personal support to Chief Client Officer and his team, taking responsibility and ownership for a wide variety of administrative and supportive tasks, working with a high level of autonomy and initiative to ensure the maximum efficiency of the business area and executive role it supports. The ability to anticipate needs, think critically and offer solutions to problems is crucial to this role. You will constantly be one step ahead, with excellent organization skills and considerable attention to detail. A high level of professional and personal confidentiality and discretion will be essential.

Able to organize self-including effective scheduling, prioritization and time management skills, completing tasks to tight deadlines. Demonstrates a ‘can do’ attitude
- Results Oriented: A keen ability to execute and deliver results. Approach tasks proactively and anticipate needs. Think quickly and have the flexibility to (re-)prioritise multiple work streams/ projects/ tasks without sacrificing quality. Act with a sense of urgency. Understands and has some experience in project management.
- Motivated, determined and trustworthy: The candidate must be a reliable self-starter, who is happy to take on multiple responsibilities, and be accountable for the successful completion of projects. They must be discreet and trustworthy.
- Super-user with Microsoft Office with emphasis on sophisticated PowerPoint, Word & Excel skills
- Fluency in English is compulsory and German would be appreciated
- Continuous Improvement Focused: Willing to ask questions and explore new ideas. Eager to learn and focused on continuously improving technical skills.

Responsibilities:
What will your main responsibilities include?
- Help prioritizing the Chief Client Officer’s time and appointments through efficient diary management and proactive planning
- Plan and facilitate delivery of the Chief Client Officer’s critical meetings and maintain longer-range calendar of events and other key activities
- Help managing the Chief Client Officer’s inbox and support him with prioritization of tasks
- Ensure reliable travel planning and execution
- Organize and plan appointments, business trips and team meetings & offsites and townhalls
- Coordinate and help prepare presentations / material for meetings
- Provide ad-hoc and support for the Client Function leadership team
- Manage expenses incurred through the necessary booking and finance systems in a timely manners
- Raise purchase orders and processing invoices in a timely manner
- Ensure the link with the other Personal Assistants and more widely with the other departments of AXA XL
- Be an ambassador of the Global Client Function at AXA XL
- You will report to the Chief Client Officer of AXA XL
