Job Description
We are seeking a highly organized and detail-oriented Administrative & Executive Assistant to join our team. This role is essential in managing the daily operations of our office, ensuring administrative efficiency, and providing comprehensive support to our senior leadership team. The ideal candidate is proactive, efficient, and capable of handling a variety of tasks in a dynamic environment.

QUALIFICATIONS:

  • Proven experience as an Administrative Executive or Executive Assistant.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and within a team.
  • High level of professionalism, integrity, and discretion.
  • Strong problem-solving skills and attention to detail.

Responsibilities:

  • Administrative Duties:
  • Manage day-to-day administrative tasks, including reception duties, managing correspondence, and documentation, with professionalism and efficiency.
  • Coordinate meetings, appointments, and travel arrangements for the team, including itineraries and expense reporting.
  • Prepare and format documents, reports, and presentations as required for project team.
  • Office Operations:
  • Oversee office supply inventory, order supplies, and manage vendor relationships to ensure cost-effectiveness.
  • Ensure the office environment is well-maintained, including managing any facility-related issues.
  • Coordinate office maintenance and liaise with building management and external vendors for repairs and services.
  • Assist in the planning and execution of company events, meetings, and team-building activities.
  • Support IT and office equipment needs.
  • Executive Assistant Support:
  • Provide high-level administrative support to senior leadership, including calendar management, meeting coordination, preparation of materials, travel arrangements and expense claims.
  • Handle confidential and sensitive information with the utmost discretion.
  • Prepare detailed reports, presentations, and other documents for executive meetings.
  • Coordinate with other departments to ensure seamless communication and collaboration on company-wide initiatives.
