Responsibilities:

THE RIGHT PERSON FOR THE ROLE:

To succeed in this role, it is essential we get the right fit for our CEO. You must have a breadth of experience, a high level of attention to detail and exceptional written skills. You will be flexible and committed whilst also being a forward thinker, taking initiative to provide solutions to not only the CEO but the wider business, pre-empting requests, and wider businesses requirements. You must be able to work well under pressure and independently when required with a high level of professionalism and confidentiality. A great sense of humour is a must, and you will enjoy working within an entrepreneurial environment that is mission-driven, results-focused and people and community oriented.

PRIMARY RESPONSIBILITIES

  • Provide sophisticated calendar management for CEO. Prioritize enquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure the smooth running of day-to-day engagements.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events, travel arrangements. Schedule meetings, draft agendas, prepare reports and correspondence, develop, compile, and distribute presentation materials and record meeting minutes. Adhere to and ensure compliance with applicable rules and regulations set in Constitutions, Resolutions and Charters regarding Board matters. Drafting and proofing of communications to Shareholders.
  • Serve as the primary point of contact for internal and external parties on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organisation policy. Ensure maintenance of filing regarding confidential documentation.
  • Be the “gateway” role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
  • Manage all aspects of organisation’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organisation grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organisation. Process all incoming mail. Oversee the replenishment of office materials. Answer the CEO’s phone line and respond to inquiries. This Role supervises a full time Board Secretary.
    To be considered for this role you must have the legal right to work in New Zealand and must hold a relevant Diploma or have at least 3 years of experience in an Executive Assistant role.
