THE OPPORTUNITY

An opportunity has arisen for an outstanding Executive Assistant to support our Chief Executive, based in our Wellington office. This role is suited to someone with excellent communication skills, a strong sense of time management, has a positive and proactive approach, and who can foster authentic relationships with a broad range of people in the business. The anticipated start date for this role is 9 September 2024.

Responsibilities:

THE ROLE

This role provides a good variety of challenging work in a professional and fast paced but dynamic environment. Reporting to the Chief Executive, you will primarily be responsible for providing complete administrative support to ensure the Chief Executive is able to carry out his responsibilities in a structured and effective manner. You will achieve this by working flexibly with him to ensure timely and accurate delivery of all requirements and your tasks will span across Board of Management, AGM, diary management, travel arrangements, event planning, annual general meetings, and general tasks supporting the Chief Executive. Secondarily, you will also provide administrative support to the Senior Leadership Team (SLT) when required.

Although no two days are the same and this is not an exhaustive list of responsibilities, you can expect to regularly work on:

  • The Chief Executive’s diary, planning meetings, travel arrangements and bookings for events
  • Board meetings, Board papers, presentations, and annual tasks such as Board elections,
  • Events from start to finish, enlisting assistance from our Client Experience team if required,
  • Upcoming meetings and events by pre-empting what is required by the Chief Executive and ensure he is adequately prepared,
  • Incoming phone calls, emails and requests whether internal or external, andFiles and documents, expenses, and ensure that there is always accurate record keeping.
