Description:
OVERVIEW
Come join Intuit as Senior Executive Assistant Business Partner in Toronto. We are searching for an experienced, reliable, detail-oriented Senior Executive Assistant Business Partner (EABP) to be part of our team. The EABP will support VP level in addition to 1-2 Director level leaders, and will be responsible for performing a wide variety of administrative duties. The ideal candidate will have experience supporting multiple leaders in a fast paced environment, possess extreme attention to detail as well as the ability to multitask, juggle changing priorities and work independently. Intuit is exercising a hybrid approach to work, with the expectation of working in our Toronto office at least 2x days per week.
Responsibilities:
The role’s key tasks are:
- Have a keen understanding of the organization – the vision, business direction, and mission
- Taking the initiative on researching, implementing, and improving systems and processes
- Diary management: maintains executive’s appointment schedule by planning and scheduling meetings, conferences and video conferences across multiple time zones.
- As a member of your exec’s leadership team, drive op mechs with operational rigour and provide guidance to the broader team. Prepare meeting agendas and take minutes/actions during meetings
- Arrange corporate travel including flights, transportation and lodgings and prepare itineraries and agendas
- Organise key internal events for the Executive/s the role supports
- Grow and maintain strong working relationships with onsite and global EABPs. Work with those teams & Engagement Lead to deliver awesome site and virtual event experiences
- Submit expenses on a monthly basis ensuring adherence of corporate policies
- Solve simple IT and facilities problems and liaise with the relevant department when necessary
- Prepare and/or handle confidential material appropriately, whether verbal or writte
Additional responsibilities involve:
- Assist senior leaders and others in the department on an ad hoc basis
- Compliant with all policies, procedures, legal and regulatory requirements
- Navigates & uses systems and business tools to assist in core responsibilities, ensuring executives and teams are aware of any changes
- Requesting Requisitions/POs for departments
- Support VPs and senior visitors from other company locations
- On-boarding new staff members that will report to his/her line manager
- Strong collaboration with the GBSG International EABP Team, sharing best practice and priorities across Intuit Mailchimp & Intuit Quickbooks
- Coordinating project resources within a defined budget, project scope and predetermined schedule in close collaboration with stakeholders across the organizatio
