We are currently looking to recruit an Executive Assistant based in our Dublin office in Ireland, reporting to the President International Channel Partnership, you will be responsible for, but not limited to, the following:
Business & Administrative Support is a critical function that ensures the smooth and efficient operation of general business activities through a comprehensive array of administrative and data support tasks.
Administration plays a pivotal role in supporting their assigned work team by performing a wide range of administrative functions. These include providing high-level support to two Presidents and may extend to assisting executives in budget preparation, meticulous record maintenance, and generating detailed reports on various operational and personnel matters. The role requires proficiency in using company software to compile and generate complex reports, statistics, timelines, tables, graphs, correspondence, and presentations. Additionally, it involves designing processes to enhance workflow efficiency and serving as the primary administrative liaison for both internal and external administrative issues.
EXPERIENCE AND SKILLS:
- Extensive experience working across different time zones, demonstrating flexibility, adaptability and confidence in a multicultural environment.
- Project management skills would be a plus.
- Proven track record in managing highly dynamic and ever-changing diaries for senior executives.
- Expertise in organizing complex travel arrangements and itineraries.
- Significant experience supporting C-level executives, showcasing a high level of professionalism and discretion.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- A proactive mindset with a solution-oriented approach to problem-solving.
- Experience working in a multinational corporate environment is highly desirable.
- Proven ability to thrive in a busy environment with numerous internal and external stakeholders.
- Proficiency in English, with excellent written and verbal communication skills.
QUALIFICATIONS:
- A minimum of 6+ years of relevant experience in administrative or executive support roles.
- High School Diploma, GED, or technical certification in a related field, or equivalent experience.
- Advanced proficiency in office software and tools required for data compilation and report generation.
This position demands a high level of professionalism, discretion, and the ability to manage multiple tasks simultaneously. The ideal candidate will possess a strong work ethic, a commitment to excellence, and the ability to work independently as well as part of a team.
