Description:

  • The Executive Assistant (EA) will play a pivotal role in supporting the daily operations and strategic initiatives of the Senior Adviser on Government Relations.
  • This position requires a highly organized, proactive, and confidential individual who can anticipate the needs of their executive and manage their schedule efficiently.

REQUIREMENTS

  • Proven 2-4 years of working experience as an Executive Assistant or similar administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • A proactive and problem-solving mindset.

Responsibilities:

  • Oversee the day-to-day operations of the Executive’s office, including maintaining a clean and organized workspace.
  • Manage office supplies and equipment.
  • Coordinate office maintenance and repairs.
  • Coordinate meeting logistics, including room reservations, catering, and audiovisual equipment.
  • Prepare and process travel expense reports.
  • Coordinate visas and passports as needed.
  • Prepare meeting agendas and minutes.
  • Maintain a comprehensive calendar of the Executive’s commitments, ensuring timely and accurate scheduling.
  • Arrange travels, including flights, accommodations, and transportation.
  • Draft and prepare correspondence, including emails, letters, and memos.
  • Manage and prioritize incoming calls and emails.
