Job Description
The Executive Assistant will be instrumental in the smooth operation of the Executive Office, providing essential support to the Chief Operating Officer. This role demands high-level analytical thinking, exceptional organizational abilities, and effective communication skills with both internal and external stakeholders.
EXPERIENCE/CERTIFICATES/EDUCATION
- Bachelor’s or Master’s degree.
- Minimum of 4 years’ experience as an Executive Assistant to C-Suite level.
- Experience with a wide range of administrative and executive support tasks.
- Prior experience in a luxury hotel environment preferred; good understanding of hotel operations is a plus.
- Fluent in English with strong written and verbal communication skills.
- Exceptional analytical and problem-solving skills.
- Strong organizational and time-management abilities.
- Proven ability to handle sensitive information with discretion.
- Proficient in Microsoft Office suite.

Responsibilities:
- Executive Support: Provide comprehensive support to the Chief Operating Officer by managing calendars, scheduling meetings, and arranging travel.
- Operations Management: Oversee daily operations including coordination with departments and stakeholders, managing office resources, optimizing workflows, and handling office systems, data administration, and filing.
- Financial Reporting: Generate and analyze financial reports, ensuring accuracy and timeliness.
- Office Management: Maintain an organized and efficient office environment, handle administrative tasks, and liaise with stakeholders.
- Communication: Serve as a primary contact for internal and external stakeholders, ensuring clear and professional communication.
- VIP Coordination: Manage VIP guest bookings and requests, ensuring a high standard of service.
- Confidentiality: Exercise discretion with confidential information related to the Executive Office.
- Team Spirit: Contribute positively to the team’s morale and maintain effective relationships with colleagues.
- Meetings & Briefings: Attend briefings, meetings, and training as required by the Executive Office.
- Ethical Conduct: Ensure all activities are conducted honestly and ethically, in compliance with local laws.
- Guest Feedback: Actively solicit and relay guest feedback to the Chief Operating Officer.
- Secretarial Duties: Perform all secretarial tasks as assigned by the Chief Operating Officer.
