ProblemShared is seeking a highly organised and experienced EA to support our CEO and the Senior Leadership team. We are looking for a motivated individual who wants to work in a high-performance team at a scaling health technology company and have responsibility for driving our business growth from day one.
We are looking for someone with at least 6 years’ experience in a similar health tech environment. The successful candidate will play a crucial role in ensuring the smooth operation of the executive office by providing comprehensive administrative support. The ideal candidate will possess exceptional communication skills, a high level of discretion, and the ability to multitask in a fast-paced environment.

What the job involves

Administrative Support:

  • Manage and maintain the calendars of the Senior Leadership Team, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and manage executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential and sensitive information with the utmost discretion.
  • Coordinate logistics for company events, board meetings, and other high-level gatherings.

Communication Management:

  • Act as a liaison between the Senior Leadership Team and internal/external stakeholders.
  • Screen and prioritise incoming communications, including emails and phone calls.
  • Draft and send out communications on behalf of the Senior Leadership Team.

Project Coordination:

  • Assist with the planning and execution of special projects and initiatives led by the Senior Leadership Team.
  • Track project progress and provide regular updates to the Senior Leadership Team.
  • Conduct research and gather information as needed for various projects.
  • Prioritise SLT work to ensure projects are achieved to timescales

Travel Coordination:

  • Arrange detailed travel plans, itineraries, and agendas for the Senior Leadership Team.
  • Prepare and submit expense reports in a timely manner.
  • Occasional personal support for CEO

Requirements

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior executives, ideally in a Health Tech environment
  • Experience of working remotely
  • Exceptional organisational and time-management abilities.
  • Excellent verbal and written communication skills. Strong interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong problem-solving skills and the ability to anticipate needs and prioritise.
  • High level of discretion and professionalism.
  • Ability to work independently and as part of a team.
  • Proactive approach to anticipating the needs of the SLT and acting accordingly
  • Outstanding attention to detail
  • Adaptable and flexible to changing priorities in a fast-paced environment
