The Executive Assistant provides advanced administrative support to the Chief Operating Officer and other senior leaders including the coordination of a broad range of deliverables and workflows within the Land Acquisition team. This includes, but not limited to, email and calendar management, meeting coordination, travel arrangements and expense management, as well as general administrative support.
This role is located at our Empire Canada Head Office in Vaughan, ON.

What You’ll Be Doing Each Day

  • Provide advanced administrative support including, but not limited to, email and calendar scheduling management, creating and updating presentations for internal and external meetings, advanced formatting of files, understanding and maintaining company brand standards in all correspondence, maintain office files and filing system, and handle incoming and outgoing correspondence
  • Manage travel arrangements, accommodations, and itineraries as well as completing expense reports
  • Manage calendars in collaboration with other Executive Assistants, internally and externally, to coordinate scheduled meetings with internal and external clients as well as event management when required
  • Advanced presentation and formatting in PowerPoint including the incorporation and formatting of charts, graphs, images as well as organizing agendas, itineraries, and document meeting minutes
  • Read, analyze and filter all incoming emails, memos, correspondences and requests and address based on significance and urgency with sound judgement on behalf of the COO and other senior leaders
