Description:
EXECUTIVE ASSISTANT

EQT is one of the Nordics leading purpose-driven global investment organization and is looking for an Assistant to join their team in a temporary assignment for 6 months with a possibility of extension. During this assignment, you will be hired by Market Partner.

Responsibilities:
As an Executive Assistant, your daily work includes to coordinate, plan, book and take care of all administration to ensure efficiency in the daily tasks without logistical obstacles. To succeed in this role, you are a task-oriented person who is curious and eager to learn. You demonstrate good organizational and administrative skills and take on instructions and tasks successfully. In this role, it is essential to be structured and communicative, you must above all love to work in a role where the focus is to support others. You keep track of your own tasks and manage time and deadlines in the most efficient way. The service is incredibly important for the daily work of the customer to be able to continue and you will be expected to always act proactively and solve problems – before they even have time to arise. You are driven by working in a changing environment and thrive in a supporting role.
- Calendar management – schedule meetings, calls and block calendar slots accordingly. Solving calendar obstacles, book rooms and refreshment/catering.
- Travel management – book flights, transport, accommodation etc. Handle VISA and ESTA requests when needed. Support and communicate with external partners.
- Administrative work – Process invoices, expense and time reports and assure correct information. Maintain and update contact details and information in relevant systems.
- Book team events – e.g., meet-ups, lunches, after works, etc.
Additional
- Drive cultural work within tech (e.g., lead tech ceremonies and culture-related initiatives)
- Coordinate and administer weekly management team meetings
- Coordinate monthly all-staff meetings from A to Z (responsible for the entire planning, e.g., book internal speakers, gather information from teams, coordinate the month’s spotlight, drive the agenda, etc.)
- Coordinate Tech Demos every 6th week
- Administer Slack groups, team calendar, email groups, Google Drive, information on the intranet, onboarding process, etc.
- Responsible for workplace improvements in collaboration with the office manager
