We are seeking an Executive Assistant to join our rapidly growing team. This role will provide high-level administrative support to two Exco Leaders. This role requires a proactive individual who can manage a wide range of administrative tasks while demonstrating professionalism, discretion, and confidentiality.
This role will operate in a hybrid capacity from our Bicester location. The successful candidate will have the opportunity to work alongside some of the most visionary minds in the automotive field.

What you’ll do

  • Extensive calendar management requiring interaction with both internal and external contacts, making decisions with minimal supervision as it relates to scheduling
  • Timely creation and management of heavy business travel schedules, both domestic and international
  • Coordination and management of internal and external executive meetings; catering, dial-ins, video conference set-up, meeting materials
  • Inbox support with screenng and prioritize incoming communications, responding as necessary.
  • Raising PO’s and chasing it through system
  • Attending meetings to take action notes/minutes where possible
  • Prepare and organize documents, presentations, and reports for meetings.
  • Act as a point of contact between the executive and internal/external stakeholders.
  • Assist in project management and coordinate team activities as needed.
  • Prepare expense reports and manage budgets for departmental projects.
  • Conduct research and compile information for reports and presentations.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Provide day-to-day general office support, as needed
  • Accurate and timely production and submission of expense reports via Concur, management of company-issued credit card billings ensuring all expenses are allocated properly

Who you are

  • Proven experience as an executive assistant or in a similar administrative role.
  • To be able to maintain the highest level of confidentiality due to the nature of sensitive data in an Exec office.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • High level of professionalism and attention to detail with excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Able to successfully assist a team and multiple Senior Leaders at a time.
  • Ability to work in a fast-paced environment.
  • Able to work effectively at all levels within an organisation.
  • Must be able to exhibit determination and commitment to achieving results.
  • Have an aspiration to develop themselves through training.
