Overview:
Gallagher Re is recruiting a highly organised and proactive individual to provide Maternity Leave cover as an Executive Assistant supporting our Global Chief Financial Officer.
We are looking for a professional that is highly engaged and motivated to join us. You will be part of a fast-paced team and be responsible for administration, organisation, problem-solving, and providing assistance as needed. The role entails regular interaction and engagement with senior stakeholders across our global business. The ideal candidate will be someone who is detail-oriented, organised and proactive in providing day-to-day support. This role is based in London and will need to be in the office for a minimum of 3 days a week.
The successful candidate will ideally have experience as an EA supporting Senior Executives and also office management.
- This role is a 12-month Fixed Term Contract.
How you’ll make an impact:
- Providing comprehensive administrative assistance
- Diary management and meetings scheduling in MS Outlook
- Attending internal meetings to run the agenda and, to take and distribute minutes
- Arranging business travel including international visas
- Assist with the preparation and editing of presentations, reports, and other documents.
- Completing expense claims
- Extensive liaison with senior Gallagher Re Executives
- Formatting MS Word documents and creating PowerPoint presentations, researching and liaising with internal teams for content
- Booking meeting rooms and catering
- Responsible for supporting the recruitment and onboarding of new members to the team
- Administration and logistics for team meetings and events, collaborating with internal and external providers as well as onsite support
- Coordinating with EA’s and administrative assistants across our global business, managing workflow
About you:
- Experience of working within a EA role
- Solid understanding of Microsoft Windows applications and Microsoft Office
- Capable of working under tight deadlines and great at organising and prioritising workloads
- Ability to handle sensitive and confidential information with discretion
- Excellent communication and interpersonal skills
- Attention to detail and accuracy
- Flexibility and adaptability to changing priorities and deadlines
- Eligible to work in the UK
