Overview:
Gallagher has a fantastic opportunity for an experienced Executive Assistant who will provide essential administrative support to our Chief Global Trading Oficer, who leads internal sales for our UK and EMEA businesses. You will be supporting a member of our dynamic executive team, and must be highly organised, proactive and demonstrate excellent communication skills, while maintaining utmost discretion.
This role is pivotal in managing relationships with key internal and external stakeholders. You will have a keen interest in the business that we support, our team management and the strategic objectives of this growing business, whilst ensuring that dependent activities are completed to a high standard, in line with stakeholder expectations.
How you’ll make an impact:

Administrative Support:

  • Managing schedules, co-ordinate and prioritise appointments and requests, handle complex and dynamic calendar scheduling, travel arrangements, visas and logistics.
  • Support with planning of and preparation for key activities for boards, committees, and general meetings and events.
  • Submit monthly expenses on behalf of the Chief Global Trading Officer via Concur.

    Communication and Coordination:

  • Act as a liaison for internal / external stakeholders, ensuring clear and concise communication.

  • Manage, draft and edit correspondence including presentations and board reports.
  • Dictation transcribing of correspondence/reports for the Chief Global Trading Officer.
  • Establish and maintain strong working relationships with the Chief Global Trading Officer’s direct reports, the Executive Assistant team, and key stakeholders.

    Information Management:

  • Maintain confidential information and documentation, ensuring appropriate accessibility and accuracy.

  • Assist in information gathering and preparation of summaries / collation of data.

    Meeting Preparation and Follow-up:

  • Prepare agendas, materials and presentations for meetings, ensuring the Chief Global Trading Officer is well-prepared.

  • Track action items and follow up on deadlines, requests and commitments made.

    Global Trade Department Support:

  • Collaborate with other team members to facilitate efficient workflow and communication.

  • Assist in the coordination of meetings for the team.

Document Review and Organization:

  • Prepare first drafts of reports and presentations & manage required updates and amendments.
  • Review and proofread documents for accuracy and completeness.

    Special Projects:

  • Assist Vice President’s EA in co-ordinating events/projects/VIP/client visits.

  • Support special projects and assignments as directed by the Chief Global Trading Officer.
  • Work closely with Executive Assistants (EAs) and other stakeholders to assist with logistical and administrative planning for US Executives and VIP client visits to the UK.

About you:

  • A proven track record of providing Executive level support.
  • Able to operate with diplomacy, tact and empathy.
  • Experience of handling confidential and sensitive information with discretion and professionalism.
  • Excellent problem solving skills and an outstanding communicator at all levels.
  • Confident managing complex travel itineraries.
  • Demonstrates pro-activeness and strong organisational and multitasking skills.
  • Strong in presentation skills, with attention to accuracy and detail.
  • Strong interpersonal and excellent communication skills, demonstrating diplomacy, tact and empathy.
  • Excellent MS office proficiency.
  • Able to manage complex and highly confidential information.
  • Demonstrates positive judgement and problem-solving capabilities.
  • Comfortable when working to tight deadlines and able to turn work around within a short time span where demands and priorities are liable to change at short notice.
