WHO YOU ARE

You are an exceptionally organized, detail-driven professional with a strong background in supporting senior executives. You thrive in a fast-paced environment where you juggle multiple responsibilities, from managing schedules to handling sensitive communications. You’re a self-starter with excellent problem-solving skills, and you have a passion for maintaining efficiency in everything you do. With experience in both administrative duties and basic accounting tasks, you’re someone who takes pride in providing a high level of service and reliability to your team.
You enjoy handling a wide range of tasks, from keeping meetings on track to ensuring that everything in the office runs smoothly. You have an eye for detail, especially when managing finances or processing orders, and you’re always looking for ways to improve workflow and stay organized. QUALIFICATIONS

  • A minimum of 3+ years of experience as an Executive Assistant or in a related administrative role supporting senior management or executives
  • Strong familiarity with basic accounting principles, including the ability to process invoices, manage expenses, and maintain financial records
  • Excellent organizational skills, with the ability to manage and prioritize multiple tasks and projects with minimal supervision
  • Superior communication skills, both written and verbal, with the ability to interact professionally with all levels of staff, clients, and external partners
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to learn and adapt to new software or tools as needed
  • A proven ability to maintain a high level of confidentiality and handle sensitive information with discretion
  • Highly motivated, detail-oriented, and a natural problem solver, with the ability to work well both independently and as part of a team
  • Familiarity with project management tools or software is a plus, but not required

Responsibilities:

  • Proactively managing the schedules and calendars of the executive team, ensuring that meetings, appointments, and events are organized efficiently and run smoothly
  • Serving as a gatekeeper for communication, managing email correspondence, phone calls, and other forms of communication, often dealing with sensitive information
  • Assisting with the creation and preparation of important documents, such as reports, presentations, and meeting agendas, ensuring all materials are ready ahead of time
  • Coordinating travel plans, including booking flights, accommodations, and preparing detailed itineraries, while handling any last-minute changes with ease
  • Handling basic accounting tasks, such as processing invoices, expense reports, and payments, ensuring all financial records are accurate and up to date
  • Managing office supplies, vendor relations, and placing orders for necessary equipment and resources to ensure the smooth operation of day-to-day activities
  • Collaborating with various teams within the organization to support project coordination, follow-up tasks, and deadline tracking
  • Planning and organizing company events, meetings, and activities, ensuring all logistics are in place and everything goes according to plan
