Description:

SUMMARY

As part of a growing, dynamic manufacturing company we are looking for an experienced, reliable, and task oriented Executive Assistant to support the Vice President of Operations along with other members of the senior management team. The individual must be professional, capable of managing their work load and prioritizing tasks in a fast-paced corporate environment
The Executive Assistant’s main duties include scheduling meetings, making travel arrangements and organizing daily calendars. You should be proactive, able to meet deadlines, and communicate effectively. Ultimately, you should be able to identify and address the needs of senior managers and perform administrative tasks. The ideal candidate also has previous experience as a Executive Assistant for multiple leaders in more than one location.

REQUIRED QUALIFICATIONS AND SKILLS:

  • Minimum of 5-10 years of previous experience as an Executive Assistant reporting directly to senior management
  • Able to work independently and work with remote leaders
  • Solid experience with full MS Office suite with technological savvy to adapt to changing systems
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities
  • Proficient with online calendars and cloud systems
  • Proactive to identify problems and solutions before they escalate
  • Strong communication skills (via phone, email and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work

Responsibilities:

  • Responsible for a number of administrative tasks for the Vice President of Operations and other Leadership team members
  • Coordinate daily calendars ensuring that schedules are followed and respected. Communicates with Leaders to provide adequate time to prepare for meetings, commitments, and other interactions
  • Coordinate communications, including taking calls, responding to emails and interfacing with clients typically of a sensitive and confidential nature
  • Facilitate internal communication (e.g. distribute information and schedule presentations) and responses to management team members
  • Prepare internal and external corporate documents for team members and industry partners such as presentations, letters, etc.
  • Schedule and coordinate meetings and appointments
  • Manage all aspects travel itineraries
  • Acts as a gatekeeper to the Leadership team to maximize productive time
  • Assist in arranging various events
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Create regular reports and update internal databases
  • Respond promptly to managers’ queries
  • Other various administrative duties as may be required
