Job Summary
The Red Hat Global Telco Sales leader is seeking an Executive Assistant to join their team. In this role you will serve as the main point of contact between executives, employees, business associates, customers and partners. You’ll manage the leader’s day-to-day agenda, including calendar management, coordinating complex travel arrangements and related expense reports. You’ll need to be highly organized with excellent interpersonal skills to help maximize the use of the executive’s time and minimize interruptions. You’ll also need to be able to thrive in a fast-paced, ever changing, environment and demonstrate a passion for helping Red Hat achieve its goals.

What You Will Do

  • Provide full administrative support to the Vice President of this organization.
  • Own calendar and schedule management, anticipating needs and proactively and effectively manage the executive’s time, resolving scheduling conflicts and prioritizing internal and external customer meetings.
  • Ensure that requests are responded to in a timely manner and use best judgment to assist and make decisions without supervision, when applicable.
  • Screen and manage phone, chat and email inquiries and requests.
  • Plan all internal and external meetings for the executive, their leadership team and extended team, as required. Manage the agenda, logistics, presentations, follow-up and any other associated action items.
  • Prepare and review expense reports, in Concur, in compliance with Red Hat’s travel and expense policy.
  • Coordinate travel arrangements through Egencia, managing complex itineraries and booking flights, hotels, ground transportation, etc.
  • Compose and edit presentations and documents for meetings, events, etc.
  • Create, manage and reconcile purchase orders through the PO E Business Suite.
  • Maintain and create mailing lists as needed in Google Groups.
  • Build relationships with other executive assistants, globally, both internally and with customers and partners externally.
  • Manage and track key projects and deadlines and monitor deliverables on behalf of the executive, to include all-hands calls and meetings, sales kickoffs, partner conferences, etc.
  • Maintain a deep knowledge of company operations, policies and procedures.
  • Use Salesforce.com (SFDC) to deliver reports for the executive, as needed.
  • Work cross-functionally in preparation for company meetings, organizational communications, etc.
  • Be proactive in anticipating the executive’s needs and solving challenges before they escalate.
  • Effectively manage the details of highly confidential and critical company projects.
  • Perform routine administrative and logistical duties.

What You Will Bring

  • 7+ years experience working as an executive assistant supporting global organizations.
  • Proven ability to prioritize, handle multiple tasks and meet deadlines in a fast-paced environment while maintaining a high attention to detail.
  • Solid work ethic and positive attitude; ability to work as part of a team.
  • Demonstrated ability to manage multiple projects and tasks with solid analytical skills.
  • Experience creating presentations; excellent written and verbal communication skills.
  • Proven experience ensuring that the executive’s calendar is properly managed to maximize effective use of their time, as well as allocate time to critical areas as needed.
  • Experience coordinating global calendars while working across multiple time zones.
  • Experience monitoring and tracking impending deadlines.
  • Proven ability to work independently and display ingenuity in anticipating and handling situations that may arise.
