Job Description
The Graduate School is seeking an organized, detail-oriented Executive Assistant to support the Dean in managing both administrative and fiscal responsibilities. The Executive Assistant manages the business operations for the Graduate School. Additionally, this position manages student workers and classified staff.
The Executive Assistant supports the Dean through a combination of project management and manages the Dean’s calendar and schedule. This position works with the Provost Office and Interdisciplinary programs who are having program reviews during the academic year providing admin grant, the Dean’s fellowship and Scholarships following, and other scholarship programs under the Graduate School’s administration .
The Executive Assistant prepares a variety of financial reports (analytics, projections, expenditures, etc.), reviews and analyzes data, provides budgetary and policy recommendations to the Dean, develops, implements administers, monitors and balances School budgets of over $4M; ensures fiscal compliance, and accuracy and timeliness in monitoring accounts.
This position oversees P-card purchases and invoices to complete monthly transaction reports. The Executive Assistant consults with the Controller, Purchasing, Planning, Budget, and Analysis, and other offices, as needed. Attends pertinent workshops related to budgeting and finances.

Required Qualification
- Graduation from high school or equivalent education and five years of progressively responsible administrative support experience which included overseeing administrative office activities, maintaining complex records, and coordinating administrative communication including written and oral information to various managers and work groups; OR
- One year of experience as an Administrative Assistant IV in Nevada State service which included administrative support duties as described above; OR
- An equivalent combination of education and experience as described above.
Schedule
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
