Description:

Are you an organized, adaptable, and detail oriented individual who enjoys working in a dynamic construction environment? Gregor Industries Inc. are seeking an Executive Assistant to join our team and support our office executive with various administrative and operational tasks.

Key Responsibilities:

  • Attend meetings and take clear, detailed minutes
  • Visit job sites to assist with documentation and client interactions
  • Deliver client gifts and maintain positive client relationships
  • Take high-quality photos of job sites for reports and updates
  • Assist with email management and communications
  • Support with research and reservations as needed
  • Create presentations using PowerPoint
  • Handle social media management and updates
  • Manage and complete random tasks and projects as they arise
  • Help develop procedures and contribute innovative ideas
  • Manage the executive’s calendar, including appointments, travel arrangements, and meetings
  • Handle incoming calls, emails, and other communications, and respond appropriately
  • Prepare and edit correspondence, presentations, and other documents
  • Plan and coordinate events, including conferences, seminars
  • Maintain accurate records, including a filing system and contacts database
  • Be resourceful and quick-witted to deal with problems and crises as they arise
  • Have exceptional communication skills, both written and verbal
  • Have strong interpersonal communication skills to build healthy relations with the team

Skills and Qualifications:

  • Proficient in PowerPoint and general computer skills
  • Excellent organizational skills with a strong attention to detail
  • Strong written communication abilities, especially for concise and accurate note-taking
  • Ability to travel to job sites, including occasional trips to Manhattan and New Jersey
  • Friendly, professional demeanor when working with clients and team members
  • Experience in managing emails and social media is a plus
  • Creative thinker with the ability to contribute to process improvements
  • Strong memory and the ability to juggle multiple tasks effectively
  • Adaptable and comfortable with last-minute changes or unexpected challenges
  • Valid driver’s license and reliable transportation required
