WHAT DOES AN EXECUTIVE ASSISTANT DO AT HOGARTH?

We are looking for an articulate, assured, highly organised EA. You will be looking after our Global Chief Production Officer, Global Head of Technology Strategy & Engineering and Managing Director of Strategic Consulting & AI. This is an important role for the business which requires you to be confident, efficient and act with complete discretion as you’ll be exposed to a lot of confidential information for the company.

You will be responsible for:

  • Managing interactions with internal teams, direct reports and outside parties including full diary management; you will be first point of contact for anyone requiring a meeting or other time commitment.
  • Working alongside the other EA’s / PAs supporting the Executive management team in both Hogarth and WPP globally
  • Dealing with clients directly, coordinating meetings, events and functions, making sure you are onsite when there is an external meeting happening at one of the Hogarth offices.
  • Managing complex and frequent travel itineraries and bookings via company travel agent (Concur) and arranging flights, accommodation and visas
  • Processing expenses on a monthly basis and performing other financial administration including raising PO’s, helping set-up vendors, managing budgets and filling out timesheets.
  • Organising internal and client events; this includes running town halls through teams and being confident in pulling together content from senior stakeholders.
  • Liaising with facilities and IT as well as the other EA’s to ensure the office is running smoothly.

REQUIREMENTS

  • Must have worked in a comparable environment, providing support for and interacting with senior stakeholders inside and outside of the business
  • Focus on effective use of time and pursuit of business objectives, with the ability to prioritise issues, counter and reconcile conflicting requests effectively and with tact
  • Fully competent in Microsoft Office applications including Word, Excel and PowerPoint
  • Experience of and entirely comfortable with working in a global, fast paced, often unpredictable environment
  • Proven strong organisational skills and detail-orientation
  • Strong work ethic and ability to work as a team player
