We are seeking an experienced Executive Assistant who will provide support to a small group of executives. A successful candidate will be self-motivated, quick-thinking, proactive and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times.
This is a versatile and fast-moving position that requires someone who is able to exercise good judgment, to respond quickly to changes, and show significant initiative. A can-do attitude and willingness to roll up your sleeves beyond your immediate job description will guarantee you success in this role.

REQUIREMENTS

What will you need to be successful in this role?

  • University degree in relevant discipline
  • 3+ years of experience in an Executive Assistant or similar role
  • Experience in an international environment / company (note: fast growing company or scale up environments is a huge plus)
  • Ability and experience in handling confidential, sensitive and privileged information with great discretion and thoroughness.
  • Full professional proficiency in English, both verbal and written (additional language skills is a plus).
  • Excellent administration and organizational skills
  • Proactive attitude with ability work both independently and collectively
  • Strong problem solving and decision making skills with attention to detail
  • Growth mindset and active and continuous independent learning
  • Energetic and eager to tackle new projects and ideas
  • Ability and experience in proactivity in anticipating the needs of an Executive and resolving potential challenges
  • Proficiency with leveraging various technology and tools (e.g., Google Workplace, MS suites, Confluence, expense tools, project management tools, DocuSign, etc.) to make work efficient and productive

WHAT WILL YOU DO IN THIS ROLE?

In this role, you will oversee administrative and organisational duties in support of two or three ICEYE executives. This will include coordinating calendar and meeting scheduling across various time zones, conducting regular calendar audits to optimize time management, and preparing meeting materials with great attention to detail. You will be taking meeting notes and ensuring subsequent follow-ups, managing the Executives’ email correspondence and internal/external requests, handling expenses (e.g., submission, approvals, and reporting).
You will be accountable for the executives’ travel needs (e.g., airfare, accommodations, and transportation) with the aim to be efficient, productive, and thorough (e.g. preparing comprehensive travel itineraries and agendas). You will support in preparing PowerPoint presentations, simple Excel workbooks, and Google docs. This will require you to be tech savvy and able to quickly pivot between tasks.
Furthermore, you will build trust and collaborate cross-functionally to optimize and prioritize business needs. This will include working closely with the Executive Assistant team and other business units are pivotal aspects of the position.
