Description:

We are seeking an Executive Assistant II to provide support to our SVP, Marketing. Overall responsibilities include schedule management, creating reports and presentations, project management, organizing travel and accommodations, and other organizational tasks. Qualified candidates must thrive in a fast-paced, results-oriented environment, demonstrating agility, proactivity, and foresight in managing and prioritizing tasks for themselves and the executive.
Flexibility and strong time management are crucial as this role attends all SVP meetings and provides timely summaries and action items. The ideal candidate is detail-oriented, proactive, flexible, a team player, and possesses great judgment and multitasking skills, with the ability to anticipate and resolve problems before they escalate.

Responsibilities:

  • Strategically manage the SVP Marketing’s schedule and travel arrangements across multiple time zones, ensuring seamless coordination of global meetings and events with no overlaps, maintaining accuracy even for complex schedules, and optimizing the executive’s time according to priority business commitments
  • Ensure a strong understanding of priorities by maintaining a real-time, organized list of tasks and projects, ensuring their timely completion and proactively addressing potential issues
  • Develop in-depth knowledge of the marketing department’s operations and priorities
  • Support SVP Marketing on cross-functional projects, engaging effectively with both internal teams and external partners
  • Contribute to departmental projects by facilitating the flow of project information and updates across relevant teams to maintain engagement and momentum, playing an active role in project planning stages, contributing ideas, and identifying potential challenges
  • Support the creation and delivery of communications on behalf of the SVP Marketing, with a keen eye on ensuring clarity, professionalism, timeliness, and the discreet handling of sensitive information
  • Support marketing leaders in financial tasks, including creating budgets for travel, invoice processing, reconciliations, and expense processing
  • Support the preparation of presentations for internal and external use, ensuring that all contributions are added in a timely manner
  • Lead the Marketing portion in the creative and efficient organization of meetings and corporate events, introducing innovative and effective methods to enhance engagement and outcomes, and follow up to ensure actionable meeting items are executed
  • Seek and implement improvements in administrative processes to enhance efficiency and productivity, setting a benchmark for excellence within the team
  • Effective planning and execution of personal support tasks for the SVP within reason
  • Manage complex administrative tasks effectively under tight deadlines
  • Strong partnership and collaboration with other company Executive Assistants
