Description:

We are recruiting to fill the position below:

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 3 - 5 years of experience in an executive assistant or similar administrative position.
  • Proven track record of supporting senior executives in a fast-paced environment.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Strong interpersonal skills and the ability to work well with all levels of internal management, staff, outside clients, and vendors.

Responsibilities:

  • Prepare and manage presentations on Microsoft PowerPoint.
  • Manage and maintain the MD’s calendars, including scheduling appointments, and meetings.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Arrange logistics for off-site meetings and events.
  • Arrange complex and detailed travel plans, itineraries, and agendas.
  • Prepare and process expense reports and reimbursements.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Coordinate and organize meetings, including preparing agendas, materials, and minutes.
  • Ensure the MD is well-prepared for meetings with relevant information and documents.
  • Conduct research and gather information as needed for executive projects.
  • Oversee the maintenance of office supplies and equipment.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Troubleshoot and resolve administrative problems with minimal supervision.
