Description:

LOCATION: KAPUSKASING – PAPERMILL, ON

Kap Paper Inc. is looking for an executive assistant who can use their entrepreneurial approach to provide confidential and other secretarial and administrative services to the General Manager and CEO for the Kapuskasing Papermill.

Responsibilities:

  • Provide confidential and other secretarial and administrative services by preparing correspondence such as letters, memos, minutes, and reports and by providing support activities necessary for their supervisor.
  • Act as point of contact for the General Manager and CEO.
  • Initiate and/or coordinate travel arrangements for the General Manager and CEO.
  • Coordinate incoming mail, ensuring correspondence requiring immediate attention is dealt with.
  • Collect data and prepare weekly and monthly operation reports for the General Manager and CEO.
  • Collect and tabulate data and prepare monthly results management graphs for cost, quality, production, environment, and safety.
  • Coordinate paper mill EMS committee activities by preparing and issuing meeting agendas and notices.
  • Taking meeting minutes and issuing in a timely fashion, updating the crew EMS presentations summary and issuing reminders for environmental action plan updates.
  • Maintain vacation schedule for the General Manager, CEO and their direct reports.
  • On an annual basis, prepare weekend duty schedule for the General Manager and update as required and ensuring that Mail sorter/switchboard Operator is informed of changes on a weekly basis.
  • Support the company’s community relations and donation objectives.
  • Be a liaison between the General Manager and CEO within all departments, ensuring a smooth flow of communication.
  • Gatekeep all external communications with the corporate office.
  • Communication memos and marketing.

Requirements:

  • Bilingual: English and French (is an asset)
  • Organizational skills
  • Computer skills (Microsoft programming, i.e.: excel, word, outlook, SharePoint)
  • Excellent time management skills
  • Professional communication
  • Perform optimally in high-pressure situations
