Summary

The objective of the position is to:

  • Provide a full spectrum of secretarial and administrative support to the Senior Director, IT

What you’ll do

The holder of the position is mainly responsible for the following areas in coordination with his / her superior:

  • Provide full spectrum of secretarial and administrative support to the Senior IT Director by managing/maintaining up-to-date schedules of appointments, business functions and travel arrangement
  • Coordinate logistics needs for business meetings or conferences and prepare meeting agenda, minutes or related materials for specific meetings
  • Organise IT vendor calls & meetings, NDAs, SOW review with Procurement and Legal
  • Administer the licenses for IT Applications, coordination with Procurement
  • Publish / Refresh 2 months advance leave plan of IT Team
  • Handle internal and external business correspondences independently
  • Handle confidential information and maintain proper filing system
  • Manage to support other ad-hoc projects and duties
  • Support during budgeting by collating IT streams submission for review and internal discussions
  • Prepare presentations and participate in department planning meeting
  • Share meeting minutes that involves Snr IT Director and directs meetings that are organised by Department Head

What you’ll need

  • Degree holder with minimum 5 years of relevant secretarial experience
  • Good command of spoken and written English
  • Experience in buying office / trading / manufacturing industry is a plus
  • Excellent computer literacy and Microsoft Office skills
  • Mature, detailed minded, fast learner, well organised with strong sense of responsibility
  • Flexible, able to work independently under pressure and multi tasked
  • With high level of personal integrity and good communication skills
  • Strong presentation and writing skills
