Responsibilities:

WHAT YOU WILL BE DOING;

We’re looking for an experienced Executive Assistant to join us on a 12-month fixed term basis. Within this role you will contribute to the delivery and development of the LNER Business Strategy by providing a confidential, efficient and effective support to our Chief Digital and Innovation Director, Communications Director and Strategic Projects Director in achieving defined business goals.
You will also work as part of the Executive Assistants’ team ensuring the provision of personalised and timely support to all members of LNER’s senior management team.
Based in our London office, you will ensure the smooth and efficient running of the agile and flexible office work space including, receiving and supporting director visitors, overseeing the office equipment and ensuring faults and problems are reported and resolved.

You’ll also be involved in;

  • Managing executive calendars and setting up meetings, providing high quality meeting support such as minute taking as required.
  • Co-ordinating and attending DOHL Digital board meetings, preparing accurate and concise minutes to record key issues, decisions taken, and actions agreed and ensuring draft minutes are available promptly for review.
  • Arranging team and leadership away days across supported teams.
  • Assisting the team with ad-hoc support for events, conferences and training.
  • Working with the property team to ensure the smooth and efficient running of the flexible working space in the Kings Cross office.
  • Managing the office space ensuring the swift reporting of faults, appropriate allocation of rooms and resources and resolving associated problems.
  • Overseeing the issue of and support the audit process associated with guest travel as required.
  • Preparing monthly credit card expense returns and manage cash expense claims as appropriate.
  • Checking and arranging authorisation of invoices including appropriate aspects of the finance system.
  • Making travel and accommodation arrangements produce full itineraries for all out of office trips.

To be successful in this role you’ll need to be a professional, fast paced Executive Assistant with the ability to work on your own initiative. You’ll also need to be;

  • Previous experience as an Executive Assistant, Personal Assistant or within a similar role.
  • Have an advanced standard of numeracy, literacy and research skills.
  • Ability to communicate effectively and confidently with senior members of the Board and demonstrate previous experience of working at such a level.
  • Demonstrable high level of verbal and written communications skills, especially minute taking skills.
  • Ability to deal confidently with a diverse range of stakeholders on a wide range of issues.
  • Professional attitude with proven ability to work with discretion and with sensitive and highly confidential information.
  • Flexible approach and significant attention to detail.
  • Able to work collaboratively and contribute positively to a team would be an advantage.
  • Excellent MS Office skills with the ability to produce high quality outputs.
  • It is a requirement of the role to be on site in London during standard office hours
