Description:

Purpose & Overall Relevance for the Organisation:
Support the VP Digital Wholesale & VP Business Development & Head Office for Global Sales and deliver a high service mentality to ensure effective and efficient organization in the department.

Key Responsibilities:

  • Take charge of routine correspondence to ensure timely and accurate response
  • Format, type and edit a variety of material, including correspondence, memos, minutes, reports and confidential material
  • Schedule and organize internal and external meetings/conferences
  • Coordinate and execute travel arrangements and support the entire DSS team (e.g. flight and hotel booking, Visa)
  • Support to complete travel expense reports
  • Handle the department cost center, including regular monitoring for budgets, approval of invoices to ensure correct accounting transactions
  • Maintain and update templates, department files and Organizational charts and assist in creating/revising of presentations
  • Assist in and coordinate projects and assignments as requested/directed

General tasks:

  • Order office supplies and administrate the shopping platform
  • Coordination and administration of investment requests (budget management)
  • Support the on boarding of new team members (workspace, hardware supply, master data maintenance, access rights, office supplies, etc.)
  • Supporting office setups and moves within HQ
  • Understands and provides information about standards, processes and policies
  • Support the teams in day to day business

Knowledge, Skills and Abilities:

  • Creative and open-minded individual
  • High level of service orientation and passion in dealing with diverse internal and external stakeholders/ customers
  • Ability to work as adaptable and agile team player in a volatile and ambiguous environment
  • Very good communication skills
  • Fluent in written and spoken English is a must. Another language is a benefit
  • Very good organizational skills and basic project management skills
  • Progressed working knowledge of Microsoft Office (particularly Excel, PowerPoint, Word, Outlook) and affinity for tools
  • Experience from a Market Sales Organization will be a plus

Requisite Education and Experience / Minimum Qualifications:

  • +3 years of work experience as Executive Assistant or similar
  • Experienced in job and fully qualified/trained
  • Combined theoretical and practical knowledge incl. company policies and practices
  • Basic knowledge in related job areas
