As a right-hand partner for the Europe, Middle East & Africa Commercial and Consumer Leadership team, you support their activities in a cross functional, multicultural environment interacting with associates from their respective teams and the leaders/assistants located in the Headquarters.
Responsibilities:
Providing top quality administrative and pratical support to 2 senior leaders and their teams in order to help them in making their jobs most efficient and effective to achieve the business goals..
- Run the office and manage the agenda of the 2 senior leaders. Coordinate with other stakeholders and prioritize their work plan. Schedule the appointments and answer or redirect routine enquiries, appointments and internal or external sources. Handle confidential material with discretion.
- Organize internal and external meetings and events, prepare relevant documentation. Remain thoroughly informed of all activities through regular consultations and briefings. Attending business meetings as appropriate, drafting and distributing reports, deadlines and meeting minutes when necessary.Organizing and coordinating meeting set-up, ensuring that the necessary meeting amenities are available and suitable for the team.
- Organizes business trips across Europe, Middle East & Africa and coordinates with the local organizations. Handles expense reports, credit card statements, expenditure and reconciliations., Assure efficient processing and managing of document flows. Maintains filing and administrative systems.
- Ad hoc support on pratical and administrative matters.
- This requires independent judgment and discretion, confidentiality, a good understanding of business vocabulary and a desire to understand the organization’s operations, procedures and people. Required to handle company sensitive and confidential documents/issues. Additionally, the incumbent must possess a strong capability in Microsoft Office with exceptional skills in PowerPoint and Excel. Incumbent must be capable of organizing team meetings, managing agendas and ensuring input and outputs of the meeting are recorded and disseminated.
