Description:

EXECUTIVE ASSISTANT - MATERNITY COVER 12-MONTH FTC

An opening has arisen for an experienced Executive Assistant (EA) to join a successful global consulting firm in our London office. This is a fixed term contract for 12-months to cover maternity leave. This is a part-time role (20 hours per week). The Executive Assistant is the go-to support for our Partner team and the wider office and the principal duties shall include:

REQUIREMENTS

  • Be able to work on own initiative as well as part of a team.
  • Have excellent communication and organizational skills.
  • Excellent computer literacy.
  • Ability to work with sensitive information confidentially.

Responsibilities:

MAIN ROLE TASKS AND RESPONSIBILITIES:

  • Diary management for Partners; manage and maintain partner schedules, appointments, and organise any travel arrangements
  • Schedule senior management and other company meetings, assist with the preparation of meeting content, ensure relevant attendees are invited and rooms are booked
  • Process partner expenses
  • Complete partner timesheets
  • Attend relevant meetings when request to minute take and/or track actions

OFFICE MANAGEMENT RELATED TASKS INCLUDE:

  • Assisting with some finance related tasks including but not limited to code allocation of bank statements, approving invoices etc.
  • Local IT support; approving laptop changes, forwarding details onto HR, point of contact if our front of house is not available
  • Health and Safety Lead; including but not limited to ensuring we have first aider and fire marshals up to date and policy management
