ABOUT THE JOB:

This role would suit a self-motivated and experience Executive Assistant who is enthusiastic about seeking variety and a challenge. Working directly for four Partners and their teams across two service lines. Its fast-paced and detailed position and, above all, is the glue within the team. A fantastic opportunity for someone keen to make this role their own. The Executive Assistant role provides coordination, operational and general support for the team and Partners.

Responsibilities:

Coordination

  • Working directly with 4 Partners across Audit and Financial Advisory.
  • Liaison with heads of support function units including quality, marketing and finance.
  • Assisting with the day to day management of a team of up to 50 people.

Administration

  • Administration and coordination for the team and Partners.
  • Team invoicing and billing management.
  • Team debtor management and direct liaison with internal accounts team.
  • General administrative tasks including document management.
  • Maintenance of CRM data base.

Reporting

  • Creating, modifying and distributing key reports to various stakeholders.
  • Ensure client documentation, such as letters, reports, tenders, etc, are accurate before client distribution.
  • Monitoring partner’s financial target and assisting by generating reports and following up with teams.

Operations

  • Management of team resources including IT equipment.
  • Management of team resource allocations.
  • Management of team administration tasks including:
  • Management of all confirmation processes.
  • Establishment and maintenance of client data transfer platforms.
  • Management of various tasks integrated into our quality control processes.
  • Maintenance of marketing credentials and associated database.
  • Assistance with client on-boarding processes.
  • Assistance with risk management and client acceptance protocols.
  • General administrative support to the team.

Executive Assistant

  • Taking minutes for key internal meetings.
  • Scheduling client meetings, lunches, and business travel.
  • Maintenance of licensing and related registrations.
  • Ad-hoc support up to 4 partners.
