We are seeking an experienced and proactive Executive Assistant to provide high-level support to our Group Managing Director and Chief Strategy Officer based out of our McCann Demand London based offices.
The ideal candidate will be highly organised, detail-oriented, and capable of managing multiple tasks with efficiency and professionalism. As the Executive Assistant, you will play a crucial role in facilitating smooth communication, managing schedules, and handling various administrative tasks.
- Manage calendars, appointments, and meeting schedules for the MD and CSO actively helping them be aware of and meet deadlines.
- Coordinate travel arrangements, including flights, accommodations, and transportation using our IPG travel system.
- Prepare and edit correspondence, presentations, and reports as needed.
- Arranging meetings, organising hospitality, and greeting clients
- Handle confidential information with discretion and maintain strict confidentiality.
- Assist with special projects, events, and other ad hoc assignments as required.
- Prioritise and manage incoming communications, including emails.
- Anticipate the needs of the MD and CSO and proactively address them.
- Inputting timesheets on a weekly basis.
- Process expense and mileage claims.
- Collaborate with the office manager to ensure smooth operations and support company initiatives.
- Foster a deep understanding of the people, personalities, and current affairs of the agency.
Provide a sounding board for the cultural impact of business decisions.Supporting with New Business Research when required.
Personal Skills & Experience
- Proven experience as an Executive Assistant or similar role, preferably in a fast-paced environment
- Excellent communication and interpersonal skills
- Strong organisational skills and attention to detail
- Open and friendly personality
- Ability to deal with clients and colleagues at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritise tasks effectively.
- Discretion and trustworthiness when handling confidential information.
- Adaptability and willingness to take on new challenges.
Previous experience in the advertising or marketing industry is a plus.Ability to manage and process basic data (charting and pivot tables in Excel) is a plus.
