We’re looking for an Executive Assistant who can thrive in a fast-paced environment supporting the Iberian General Manager and Directors. A detailed-oriented self-starter, this role serves as the eyes and ears for the senior leaders and requires someone who exhibits sound judgement with the ability to prioritise, is comfortable interacting with all levels of seniority, and with a resourceful, can-do attitude.

WHAT YOU NEED TO SUCCEED (REQUIRED QUALIFICATIONS)

  • University degree or higher education in relevant areas for the role
  • 3 to 5 years previous experience in similar role in a multinational environment.
  • Native Portuguese speaker
  • Fluent in English

Responsibilities:

  • Executive Support: Provide day-to-day administrative support to executives, including managing calendars, scheduling appointments, and organizing travel arrangements.
  • Meeting Coordination: Schedule and coordinate meetings, conference calls, and events. Prepare meeting agendas, take minutes, and follow up on action items.
  • Document Management: Prepare, edit, and distribute reports, presentations, and other documents. Ensure timely filing and organization of critical documents.
  • Travel & Expense Management: Arrange and manage travels and accommodations. Manage expense reports.
  • Project Assistance: Assist in special projects as required, including research, preparing reports, and ensuring timely project execution.
