Description:

POSITION SUMMARY

The Executive Assistant to the CEO position is full-time, 40 hours per week (exempt, benefits available) and will primarily take place at our Little Village locations. The Executive Assistant is responsible for performing a variety of administrative tasks and to support the CEO. May require some local travel (reimbursable). Pay commensurate with experience. This position is in-person.

SKILLS & QUALIFICATIONS

  • Must become a Certified Mandated Reporter. Training provided.
  • Must pass a background check, must not have any pending cases.
  • Must pass a Child Abuse and Neglect Tracking System background check.
  • Must pass a National Sex Offender Registry background check.
  • Associate degree required. Bachelor’s degree preferred.
  • Must have a working phone and phone number.
  • Work experience as an Executive Assistant, Personal Assistant, or similar role.
  • Cross-cultural competency.
  • Excellent verbal and written communication skills.
  • Ability to effectively work independently, problem-solve, multi-task and take initiative.
  • Outstanding organization and time management skills.
  • Highly detail oriented.
  • Excellent MS Office knowledge.
  • Familiarity with office machinery and applications (e.g., e-calendars and copy machines).
  • Must be willing to be trained, and proficiently utilize database(s) and information tracking systems relevant to duties.
  • Discretion and confidentiality.
  • Ability to establish and maintain effective working relationships with others.
  • Valid Illinois driver’s license, insurance, good driving record, access to a vehicle. Subject to driving background check.
  • Bilingual English/Spanish preferred but not required.

Responsibilities:

  • Manages the CEO’s calendar.
  • Make travel and accommodation arrangements.
  • Prepares and completes CEO’s expense reports.
  • Manages emails by prioritizing, organizing, and responding as necessary.
  • Assists in pushing projects CEO is managing forward.
  • Format information for internal and external communication – memos, emails, presentation, reports, etc. as needed by the CEO.
  • Take minutes during meetings when necessary.
  • Screen and direct phone calls and distributes correspondence.
  • Provides timely communication between CEO and executive members, staff, and outside partners.
  • Act as a point of contact among executives, employees, and other external partners.
  • Manages information flow in a timely and accurate manner.
  • Approves credit card report and timecards.
  • Supervision includes regular check-ins with CEO.
  • Maintains accuracy of budget if applicable.
  • Participates in required evaluations and audits.
  • Demonstrates New Life Centers’ values.
  • Attends required meetings and trainings.
  • Other duties as assigned by the Supervisor.
